Student Affairs and Attendance Coordinator

Department: Administration Support
Location: Studio City, CA

The Harvard-Westlake Student Affairs and Attendance Coordinator is critical in promoting student engagement and success through community programs while ensuring accurate and timely student attendance tracking. We’re looking for a highly organized, energetic, and student-centered individual who can establish connections with the student body, maintain effective communication, and support student accountability.

Responsibilities

Student Affairs

  • Plan, organize, and oversee student activities and events, including dances, spirit weeks, assemblies, and cultural celebrations. This includes coordinating with facilities for the set up of various on-campus club events, processing reimbursements, and ensuring all necessary paperwork is filled out properly and submitted to the Business Office.
  • Serve as support to the Prefect and Community Council, encouraging student leadership development and overseeing the submission of event requests. Including, approving student-submitted community service hours, filling out and submitting paperwork, coordinating with invested groups, and meeting with students to guide them through the process.
  • Collaborate with faculty, staff, and community partners to promote inclusive, meaningful student programming. Duties include monitor and respond to emails, supervise and support student clubs and organizations, including coordination of club charters, fundraisers, and events.
  • Manage the school calendar of events in coordination with administration and facilities.
  • Maintain effective communication with students, staff, parents, and community stakeholders.

Attendance Coordination

  • Monitor daily student attendance and follow up on unexcused absences, truancy, and patterns of chronic absenteeism.
  • Communicate regularly with parents/guardians regarding attendance concerns and policies.
  • Work with counselors, administrators, and student support staff to address barriers to attendance and support student re-engagement.
  • Ensure accurate data entry and reporting in the school’s attendance system.
  • Generate attendance reports for administration, teachers, and district personnel as needed.

Medical Certification (June – August)

  • Direct medical certification process for all US students.
  • Communicate with parents regularly via email, phone, and fax concerning medical requirements for school entry.
  • Process and input medical and immunization data for all students.
  • Collect physical exam records for all students.
  • Upload immunization and student medical records into the student record electronic database

Desired Qualifications and Characteristics

  • High school diploma or equivalent required, Bachelor’s degree in education, student affairs, or a related field preferred
  • Strong attention to detail, organizational, interpersonal, communication, conflict resolution and problem-solving skills
  • Ability to work flexible hours, including some evenings and weekends
  • Ability to work in a fast-paced school environment with frequent interruptions
  • Proficiency with digital tools and data systems (e.g., Outlook, Google Workspace, Excel)
  • Prior experience in student activities, school leadership, or attendance management preferred
  • Student-centered mindset with a passion for building community with the ability to lead, mentor, and inspire students
  • Culturally responsive and equity-focused
  • Ability to lift up to 25 pounds for event setup

Compensation: This is a non-exempt position. Estimated base compensation for this role is $33.00 per hour to $41.00 per hour, depending on experience.
